Sejda PDF Editor Review 2026: Is the Free Version Enough?

A PDF often arrives at the least convenient time: a form needs a signature, a proposal needs one corrected line, or several attachments need combining before you send them to a client. Sejda puts those common jobs in one place, with an online editor and an offline desktop application.

What can Sejda do?

• Edit and annotate: Add or change text in supported PDFs, insert images, links and shapes, highlight text and mark up pages.
• Fill and sign: Complete forms and add a drawn, typed or uploaded signature.
• Organise pages: Merge files, split documents, extract pages, reorder them or delete pages you no longer need.
• Compress and convert: Reduce file size and convert PDFs to formats including Word, Excel and images. It also offers tools to create PDFs from Word documents and images.
• Other useful jobs: Add page numbers, watermarks or password protection, and use OCR to make scanned content searchable.

For a small business, the appeal is having several everyday PDF jobs under one roof. You can, for example, combine a quotation and supporting pages, add a signature, then compress the finished file for email.

Should you use Sejda Web or Desktop?

Sejda Web runs in your browser and processes uploaded files on Sejda's servers. Its editor page says files are automatically deleted after two hours. That is convenient when you are using a borrowed device or do not want to install software, but consider your organisation's rules before uploading sensitive documents.

Sejda Desktop is offered for Windows, macOS and Linux. It processes files on your computer, can work offline and avoids sending the documents to Sejda's servers for the editing task. That makes it a sensible option when you want local processing, though you should still review the software's current terms and security requirements for your own use.

Is the free version enough?

For occasional web use, quite possibly. Sejda's online editor currently advertises up to three tasks per hour and files up to 200 pages or 50 MB on its free service. Some individual tools have additional limits. The free desktop app instead advertises three tasks per day, documents up to 50 MB and 200 pages, and separate limits for jobs such as OCR and merging.

Paid options include a short web pass, a recurring web plan and an annual plan combining desktop and web access. The web-only plans do not include Desktop. Sejda says paid plans allow more documents and larger uploads, but some individual tasks, including OCR, still have stated limits. What are the limitations?

Free limits can interrupt a busy workflow

Three web tasks per hour may be enough to fix a document now and then, but can feel restrictive if you process many client files. The desktop allowance resets by day rather than by hour. Check the specific tool's limits before starting a large batch.

Scanned PDFs need a different approach

A scan is essentially an image of a page. Sejda says changing existing text in scanned documents is not supported in its normal editor. Its OCR tool can help extract searchable text, but do not assume that will recreate a fully editable original layout.

Check the result before you send it

Conversion and compression can affect formatting or image quality, especially with complex files. Keep the original, check the output carefully and verify that any signatures, links and form fields behave as intended.

Who is Sejda best for?

It is a good candidate for a sole trader signing the occasional form, a marketer combining campaign PDFs, a student extracting pages for notes, or a small team that needs quick access to practical document tools. The desktop option is particularly relevant when local file processing matters.

If your work involves high volumes, complex production workflows or strict document handling rules, compare the paid limits and your requirements carefully before adopting it as your main PDF platform.

My verdict

Sejda offers a useful range of PDF tools with a genuinely accessible free starting point. The choice between browser convenience and local desktop processing is its clearest practical strength. Start with a non-sensitive sample document, try the exact task you need and check the finished file. If you repeatedly hit the free limits, compare the paid web and desktop options before choosing a plan.
